Hockey Event Manager

The responsibilities of the Hockey Events Manager are to oversee day-to-day operations and the growth in both participation and the number of key events offered by the Michigan Amateur Hockey Association. Duties include but are not limited to organization and planning of events, marketing and branding of the Michigan Amateur Hockey Association, establishing, and overseeing programs that increase hockey participation and any other duties as assigned by the President. This position requires the ability to travel, work evenings and weekends as required.

HOCKEY EVENT MANAGER ESSENTIAL RESPONSIBILITIES: 

  1. Assist in planning, coordination, and administration of Michigan Amateur Hockey Association Sponsored State Tournaments: 
    1. Working with the State Playoff Committee Chair and Committee, plan the dates and location of all MAHA State Playoff locations
    2. Secure ice contracts for all approved tournaments and work with approved venues to plan and organize tournament schedule.
    3. Meet with hosts to ensure understanding of the requirements for a successful event and communicate any special needs for the event.
    4. Working with the host site contacts, develop the schedule for each event.
    5. Work with each District Referee in Chief to schedule referees for all games​.
    6. Coordinate with vendors and sponsors involved in the event.
    7. Provide onsite support for the Tournament Directors throughout the event
  2. Assist in planning, coordination and administration of Michigan Amateur Hockey Association Player Development Tryouts and Camps: 
    1. With the PDC Chair and PDC Committee, plan the dates and location of all PDC Camps​
    2. Secure ice contracts for all PDC tryouts and camps​
    3. Work closely with the PDC Chair in the administration of the registration process to ensure that each age group has the targeted number of teams and players per team​
    4. Administer the registration website, maintain all financial records, establish, and administer waiting lists.
    5. Work with PDC Chair to create budget for all Player Development Camps, maintain the financial records, collect receipts for all expenses, approve and send all invoices to MAHA treasurer for payment, and ensure all personnel receiving a stipend are properly documented with required documents (W9)
    6. Work with each Tryout / Camp Director to assemble teams in a fair and equitable manner​
    7. Work with each Tryout /Camp Director to schedule referees for all games​
    8. Coordinate the procurement of needed jerseys and equipment for all PDC Tryouts / Camps, including Team Michigan.​
    9. Coordinate the procurement of evaluators and other required personnel for the District Tryouts with the District Tryout Director.
    10. Publish all rosters and schedules on the MAHA PDC website and then keep up to date once published.
    11. Together with the PDC Committee, provide regular communication to parents via email or MAHA website to provide pertinent information regard all PDC events.
    12. Work with LSSU Bantam Camp Director (typically Host Facility D1 Asst Coach), PDC Chair, and MAHA Coach-in-Chief to staff our camp and provide onsite support
      1. With Host Facility Director
        • Responsible for procuring Head Coaches of each team
      2. With PDC Chair and MAHA Coach-in-Chief
        • Create teams for each week in an equitable manner as possible
        • Procure 3-4 adults to serve as Camp Directors and be present at the camp to administer and supervise throughout the week
        • Procure 1 assistant coach per team for each week
        • Procure 1 Team Leader per team for each week
    13. Attend Player Development Committee meetings when feasible, and work with PDC Chair to ensure alignment on all key issues
  3. Assist in planning, coordination, and administration of Michigan Amateur Hockey Association Tier 1 Showcases:
    1. Working with the Youth Committee Chair and the Tier 1 Committee, plan the dates and location of MAHA Tier 1 Showcase locations.
    2. Secure ice contracts for all approved events and work with approved venues to plan and organize showcase schedule.
    3. Meet with hosts to ensure understanding of the requirements for a successful event and communicate any special needs for the event.
    4. Working with the host site contacts, develop the schedule for each event.
    5. Work with The Local Scheduler to schedule referees for all games​.
    6. Coordinate with vendors and sponsors involved in the event.
    7. Provide onsite support for the Tournament Directors throughout the event
  4. Manage and administer the Michigan Amateur Hockey Association Try Hockey for Free Program
    1. Administer the site application process and select host sites for the program.
    2. Coordinate and schedule events with host site contacts. Meet with hosts to ensure understanding of the requirements for a successful event.
    3. Review host site plan for promotion of the event and assist as needed.
    4. Communicate with host sites to ensure adequate volunteers will be on hand to assist with the event.
    5. Manage the inventory of jerseys and equipment for the program and procure new inventory as needed.
    6. Ensure the proper setup of the registration site for each event. Monitor registrations for each event and provide host site with periodic updates.
    7. Serve as a mentor for the lead instructor at each event and provide onsite support.
    8. Educate parents in attendance on next steps and structure of youth hockey programs
  5. Manage and administer the Michigan Amateur Hockey Association 8U Jamboree Program
    1. Working with the Youth Committee Chair and Committee, plan the dates and location of MAHA 8U Jamborees.
    2. Meet with hosts to ensure understanding of the requirements for a successful event.
    3. Working with the host site contacts, develop the schedule for each event.
    4. Administer the registration website. Ensure that each age group has the targeted number of teams, establish, and administer waiting lists.
    5. Work closely with the Treasurer, maintain all financial records required for jamborees.
    6. Manage the inventory of equipment and awards for the jamborees and procure new inventory as needed
    7. Develop and publish all schedules and communicate them to the registered teams.
    8. Work with each Host / Local Scheduler to schedule referees for all games​
    9. Coordinate with vendors and sponsors involved in the event.
    10. Serve as on-site tournament director for each event.
  6. Assist in planning, coordination and administration of other Michigan Amateur Hockey events as assigned: 
    1. Annual Meetings
    2. Development Workshops
  7. Participate as a member of the Budget Committee and collaborate with the Treasurer to develop the proposed annual budget for areas that the Hockey Event Manager is involved in.

 

 

QUALIFICATIONS: 

  • Become a current registered member of USA Hockey. 
  • A sincere passion for hockey, especially hockey in Michigan
  • Degree in Sports Management, Marketing, Communication, Business Administration, or other reasonably similar educational background is preferred. 
  • Excellent organizational, communication (oral and written), problem solving, listening and interpersonal skills. 
  • Efficient planner with a commitment to follow-through on tasks. 
  • Positive attitude and strong work ethic. 
  • Must be able to develop and maintain relationships with varied and diverse groups and individuals. 
  • Must be objective and compassionate. 
  • Must have applicable technology skills including computer/software, software, and mobile communications. 
  • Must have valid driver’s license 
  • Successfully pass background screen and complete SafeSport Training.
